CMO/PMO Support - Business Operations Support

Location: Ipswich or Cheltenham

Why this role matters

As an active member of the PMO team you will support the wider Business Operations team and contribute directly to it meeting its objectives, goals and targets. You will provide Business Management, Commercial and Finance support and work to a high degree of accuracy and with the use of own initiative. You will have the ability to communicate with stakeholders within BT and externally. E.g. suppliers and customers.

You will be main point of contact for support and as such you will support the implementation of unit wide policy, standards, and guidance; respond to queries, meet deadlines while being professional at all times.

What you'll be doing

  • Billing – As part of the wider team, collate data for the production of accurate monthly customer invoices and associated Billing Reports on key projects to time frames.

  • Debt Management activities - Report and escalate billing and debt issues to senior management as appropriate. Engagement with the customer and/or suppliers on behalf of BT when necessary.

  • Reporting -Assist with the provision of business management reporting : forecasting, recording actuals, dept management, RFT.Attend associated calls, and conduct related activities as defined by process.

  • Procurement activities including : Tracking requisitions, purchase orders, and receipt of goods prior to payment. Verification of labour spend against timesheets. Support the preparation of catalogue quotations, and acquire relevant approval following process.

  • Task support – create and maintain projects and tasks on the BT time booking systems (clarity), Raise and manage resourcing requests for key Contracts

  • RFT – As a collective team - monitor RFT and performance metrics e.g. delivery to time (milestones), costs and scorecard KPIs.Collate and verify results prior to submission.

  • Team working : Working as part of the collective team : Assist the wider team when processing commercial documents e.g. Contract Variations and maintaining associated logs. Provide assistance to Head of Business Operationsand wider GES as needed. Provide cover for team colleagues for critical tasks as required.

  • Good communication skills and be able to present data clearly.

  • Proficient with Microsoft Applications, in particularly Excel

  • Awareness of SharePoint and Clarity

  • Ability to follow key business and quality processes.

  • Financial and business awareness i.e. cost tracking and reporting

  • Knowledge of IBUY and Markview.

  • Be professional at all times
